Quality Assurance Company Auditor Qualifications Records
An essential
element of the audit process is that the auditor selected to carry
out the audit has the right qualifications, training and experience
in the relevant Standard, the industry sector being audited and
the complexity of operation of the particular company involved.
This database, the first module of a much larger planned application,
captures all training records, qualifications held, annual assessments
and experience, so that the validity of any auditor selection can
quickly be checked. Additionally the system provides
reports such as Auditor Qualifications due for renewal and those
that have expired, Annual Reviews due, etc.
Future
development of the system will allow automatic validation of audit
teams selected for particular audits. The completed system is planned
to track Certifications from the initial application, right through
to annual audits and Certificate issue.

Pressure
Relief Valve Inspection, Maintenance and Certification Records
As integral parts of the safety systems on chemical plants Pressure
Relief valves require regular testing and certification. This database
allows the client to maintain records of the testing and inspection
of such valves, which as well as simply recording the results of
the inspections, also allows the client to monitor the performance
of the valve over its lifetime. This helps to identify when a valve
may become unreliable, and also helps to identify which manufacturers
valves perform best. This is a classic case of where using a database
allows trends to be identified, which would be very difficult using
other recording facilities.

Hotel
Function Room Booking System
This system allows a local country hotel to record their booking
for their three function rooms, from the provisional booking stage,
to final confirmation. The database provides year-to-year comparisons
of bookings, used to identify advertising requirements.

Hazardous
Area Inspections Records
This application stores detailed information about all equipment
located in hazardous areas. The database is then used to keep a
record of all inspections carried out on the equipment, the findings
from the inspections and the remedial actions taken when equipment
is found to be faulty. Reports from the system included inspections
scheduled, but not yet completed, defects found but not yet remedied
and closed out, etc. This database was developed for TAS
Engineering Consultants. Any interest in this product should
be directed to them in the first instance.

Building
Company Work in Progress System - Ongoing Support
The company in question has a multi-seat system for tracking work
in progress, from initial enquiry through to Satisfaction Note issue
at the end of the job. Much of their work is insurance work and
the company is authorised to carry out some work, up to a given
value, without authorisation from the insurers. This however, means
that the company is subject to rigorous audits by the insurers.
The system is therefore vital, not only for their day-to-day management
of their work load, but also as a means to proving to the relevant
insurance companies that they are providing a service to their clients
in accordance with the standards set by the insurers. Although the
basic system was developed by others, Bill Colombi has been responsible
for maintaining and further developing the system for the past three
years.

Cause
and Effects Tags Record System
Developed for the oil industry in conjunction with Prodlogic,
this application captures the information usually recorded on Cause
and Effects trip matrix diagrams, which on large installations can
run into hundreds of A3 drawing sheets. By having the data in a
database any trip tag can be entered and within seconds a printout
can be obtained of all related causes. Conversely any Cause tag
can be entered and a printout of all related Effects tags can be
obtained. This has huge potential for savings when investigating
plant trip situations and for routine trip testing to make sure
that all necessary isolations are carried out first; thus avoiding
accidental plant trips.

Accuracy of
information is vital in this application and therefore a series
of checking routines are provided for the initial data entry stage,
including identifying 'widowed tags' i.e. Tags that have been entered,
but that have not been linked to either a cause or an effect. Once
the data has been entered and thoroughly checked it is 'locked-down'.
It can then only be changed by suitably authorised personnel and
all such changes are logged.

Water
Systems Inspections Report Generation
This system has been developed for a company specializing in water
system consultancy and inspection work for compliance with regulations
and best practice in the prevention of Legionnaires' Disease. The
system allows entry of survey data for different components of water
system installations in public, industrial and commercial buildings,
such as cooling towers on air conditioning systems and cold water
storage tanks. Once the survey data has been entered, report pages
are generated as Microsoft Word documents, including specific recommendations
automatically generated from the input data, which can then be combined
into the full report for the client. This system streamlines the
report writing process and greatly reduces the time spent by the
surveyor preparing his detailed report.

Invoicing
System
The client
uses an Internet based package for collecting timesheet information
from its Engineers wherever they are based or happen to be working
at the time. Unfortunately the timesheet package does not provide
adequate facilities for generating Invoices of sufficient detail
and quality for issue to clients. An Invoicing system was therefore
developed to take information exported from the timesheet package
and also from the accounts package, and after a rigorous set of
validations, to produce the monthly invoices to the standard required,
together with 'backing sheets', if requested by client.
As well as producing
the Invoices the system was further developed to provide information
on staff utilisation and performance against target hours, both
as printed reports and in a graphical form.

Technical
Library
The company in question has an extensive technical library. This
application allows cataloguing of the library, which is mostly made
up of technical journals, reference books, British Standards and
ACOPs. In line with most applications a variety of search facilities
are provided. 'Key words' can be entered for such search purposes
- with this application the key words can be automatically suggested
and entered from the document tile. The main additional feature
of the library system is its facility to also store hyperlinks to
electronic copies of documents stored, usually as PDF (Portable
Document Format) files, on the client's server, and also website
addresses (URL's) ~ so, to some extent, it provides a 'virtual library',
accessible from anywhere in the offices.

Cattle
Breeding Records
This system has been developed by a former colleague, Joe Easley,
in conjunction with a farmer in Devon, specifically to record and
analyse the attributes that go to make good breeding stock in his
herd of South Devon cattle. Initially developed in Lotus Approach
as EasyBreeder, the same package is in the process of being
developed as a Microsoft Access database. As well as providing the
analysis, the database also satisfies the requirements of DEFRA
for herd records for the holding and movements on and off it. Further
modules allow for recording veterinary treatment of the herd, medicine
records, land/field utilisation, treatment and yield, and organic
records essential for approved organic farm status.
